Payment receipts, explained
A receipt says paid. An invoice says pay.
A receipt is the document you send after the money arrives. It closes the loop on an invoice, answers "did you get my payment?" before it is asked, and gives your client something their accountant will accept. Here is what belongs on a receipt, when it is the wrong document, and how the generator above makes one in seconds.

What goes on a receipt
- Your business name and contact details, so the client knows who confirmed payment.
- Your receipt number, in a sequence separate from your invoices (RCP-001, RCP-002).
- The date the payment arrived, plus the date you issued the receipt if they differ.
- The invoice or order number the payment settles, if there was one.
- A list of what was paid for, in plain language.
- The payment method: bank transfer, Zelle, Venmo, card, check, or cash.
- The total received, with currency. If you charge tax, show the tax line the same way your invoice did.
When a receipt is the wrong document
- Do not send a receipt before payment arrives. A receipt claims money you do not have yet, and if the transfer fails, your paperwork lies.
- Do not use a receipt as an invoice. A receipt asks for nothing, so it will not get you paid.
- Do not send a receipt as your only record of a partial payment. Label it "partial" or "deposit" and keep the balance clear.
- Do not skip receipts for cash payments. Cash leaves no trail, which is exactly why the receipt matters.

What is a receipt?
A receipt is a document that confirms payment was received. It is issued after the money arrives, unlike an invoice, which is a request for payment issued before.
Do I have to send receipts to clients?
In most places freelancers are not legally required to send receipts, but business clients often need one for their own books, and sending one ends follow-up emails asking whether payment arrived.
What is the difference between a receipt and an invoice?
An invoice asks for money and is sent before payment. A receipt confirms money was received and is sent after payment. Many accountants want both on file.
How should I number receipts?
Use one simple sequence per year, separate from invoice numbers, such as RCP-2026-001, RCP-2026-002. This generator keeps its own RCP-001, RCP-002 sequence automatically, so receipts never collide with invoices or quotes.
Can I just mark my invoice as paid instead of sending a receipt?
For your own records that is fine, but a receipt is a standalone document your client can file with their accountant, so it never raises the question.
Should a receipt show the payment method?
Yes. Stating how the client paid, for example by bank transfer on a specific date, answers the follow-up question before it is asked and helps if a payment is ever disputed.
