What goes on a packing slip
Seven essentials. Notice what is missing: prices.
The words "Packing slip." So nobody mistakes it for the bill.
A slip number. Its own sequence per year: PS-2026-001, PS-2026-002.
The ship date. When it left your hands.
The order reference. Your order number, the client's PO, or the invoice number it relates to. This is how the slip, the invoice, and the shipment stay linked.
Ship-to address. Where it went, so a misdelivery is obvious.
One row per item: SKU or description, and quantity. "Letterpress wedding suite, blush, qty 50." Quantities get checked against the box; that is the slip's entire job.
Your contact details. So a short shipment turns into one email, not a treasure hunt.
Optional: a short thank-you note, care instructions, or a returns line. Keep prices off unless the buyer and the recipient are the same person and your process demands it.
When a packing slip is the wrong document
Do not use it as the invoice. A slip with no prices cannot be paid against. If the buyer needs to pay, send an invoice too.
Do not put prices on a gift recipient's slip. The classic blunder. Prices travel to the buyer separately.
Do not skip it because "the box is obvious." Three identical boxes with different contents are not obvious. The slip is cheap insurance.
Digital products do not need one. No box, no slip. Your delivery email is the confirmation.

Packing slip questions freelancers actually ask
Do I need both a packing slip and an invoice?
Often yes. The slip travels with the goods so the recipient can check the box; the invoice travels to the buyer so they can pay. When the buyer and the recipient are the same person, both can ride in the same shipment, but they are still two documents.
Should a packing slip show prices?
Usually not. The slip's job is quantities, and showing prices risks an awkward moment when the recipient is not the buyer. Keep prices on the invoice.
What if part of the order ships later?
Issue one slip per shipment, each listing only what is in that box, all tied to the same order reference. "Box 1 of 2" on the slip prevents the "where is the rest" email.
Do I need SKUs?
Not required, but a short code per item (even one you invent) makes reorders and damage claims much easier to discuss. "MC-WS-BLUSH" beats "the blush ones" on the phone.
Who keeps the packing slip?
The recipient, usually. Keep a copy yourself too, filed with the order. When a client says a box arrived short, your copy of the slip is the first thing you will both look at.
Do digital products need a packing slip?
No. Packing slips are for physical shipments. For digital delivery, the delivery email or download confirmation is the equivalent record.
