A freelance quote needs six things: your business details, the client's details, line items with quantities and rates, one fixed total, how long the price is valid, and your payment terms. Get those six on one page and the quote does its job. Everything else is polish.
Clients scan quotes the same way every time: who is this from, what am I getting, what does it cost. Write for that scan.
Scope creep starts in vague line items. "Design work" can mean anything, so it eventually means everything. Write each line item so a stranger could tell what is included: "Homepage design, 2 concepts, 2 revision rounds" instead of "Design." Name the deliverable, the quantity, and the boundary. The boundary is the part that saves you: "2 revision rounds" is a fence, and fences are what keep a $2,000 project from becoming a $2,000 project plus six weeks of free tweaks.
Add one line most freelancers skip: what is not included. "Does not include copywriting, photography, or ongoing maintenance" takes ten seconds to write and ends more arguments than any contract clause.
Thirty days is the standard. It is long enough that the client does not feel rushed and short enough that your costs cannot drift far. For volatile work, materials-heavy trades, or anything where your suppliers change prices, fourteen days is fair and normal. Put the expiry date on the quote itself, not just "valid 30 days," so there is no argument about when the clock started.
Speed beats polish. The freelancer who sends a clear quote the same day usually wins over the one who sends a beautiful quote next week. Send one fixed price, not three confusing tiers, unless the client asked for options. And end the quote with the next step spelled out: "Reply to accept, and I will send the deposit invoice." Clients do not accept quotes that end in silence; they accept quotes that tell them what happens next.
