Handyman invoice template: what to include

A handyman invoice needs six things: your business and license info, the client's details and the job address, separate lines for labor and materials, one fixed total, your payment terms, and a record of any deposit already paid. The part trade invoices get wrong most is lumping everything into one line. Clients question a lump sum. They rarely question an itemized one, because they can see exactly what the money bought.

The six parts, in order

• Your business and license info. Business name, phone, email, and your contractor license number if your state requires one on paperwork. For trade work, the license number on the invoice is trust in one line.
• The client and the job address. Name, plus the address where the work was done. This matters more for trades than for desk freelancers: the job site is often not the billing address, and "which property was this for" is the first question a landlord client asks.
• Labor and materials on separate lines. Each task as its own line with hours and rate, each material as its own line with quantity and cost. See the example below.
• One fixed total. Labor subtotal, materials subtotal, tax if applicable, then the single number the client pays.
• Payment terms. Due date, how to pay, and your late fee. Trade clients pay fastest with "due within 14 days" printed next to a real calendar date.
• Deposit record. If the client paid half up front for materials, show it: "Deposit received Sep 1: $400. Balance due: $850." An invoice that ignores the deposit looks like you are billing twice.

Labor and materials, separated: an example

Compare these two ways of billing the same half-day job:

Weak: "Bathroom repairs: $1,250."

Strong:

• Labor: faucet replacement, 2 hrs at $85/hr: $170
• Labor: drywall patch and paint, 3 hrs at $85/hr: $255
• Materials: Moen faucet, model 87233: $189
• Materials: drywall, joint compound, paint: $64
• Trip charge: $45

The itemized version answers every question before it is asked: what did he do, how long did it take, what did the parts cost. The lump sum invites the client to guess, and clients guessing about your bill never guess in your favor. Name the actual parts where you can. "Moen faucet, model 87233" is verifiable. "Plumbing parts" is not.

Deposits and progress payments

For jobs over a few hundred dollars, take a materials deposit before you start: usually 50% of the estimated materials cost, or 50% of the whole job for multi-day work. Put it in writing before the job, then show it on the final invoice as a line subtracted from the total. Two things this prevents: you never front material costs out of pocket, and the client never wonders whether the deposit was forgotten. Unrecorded deposits are one of the most common sources of trade payment disputes.

The details that prevent callbacks and disputes

• Work description with the address. "Replaced kitchen faucet and patched drywall at 142 Maple St, unit 3." Six months later, this line settles every "what was this for."
• Warranty line. One sentence: "Labor warranted 90 days from completion." It costs you nothing to promise and it ends the "is this covered" conversation before it starts.
• What is not included. "Does not include electrical work beyond the fixture swap." Same rule as any freelance quote: the boundary you write down is the argument you never have.
• Photos before and after. Not on the invoice itself, but sent with it. A photo of the finished work attached to the invoice email makes "I'm not sure the work was done right" very hard to say.

Send it the same day

The fastest-paying handyman invoice is the one sent from the truck before you drive away. Every day between finishing the job and sending the invoice is a day the client's memory of the good work fades and a new expense competes for their money. An invoice that takes five minutes to make gets sent the same day. An invoice that takes an hour gets sent "this weekend," which means Tuesday, which means the client pays late.
